Directing Output to the Disk for Later Printing

The Spooler is another tool for improving use of your computer resources. This software device allows you to direct the output of any report program to a free area on the disk rather than to a printer. Later, when demand for computer and printer time has decreased, you can redirect the saved report from the spooler disk area to a printer.

Structure

The operating system has the capability of printing to a printer or printing to a file stored on the disk. This latter option is called "spooling". When you select a report program from the Selector, the Report Options screen allows you to choose the "Spooler" as the destination of the report. If you do so, the spooling option is used and a file is created on the disk with an image of your report, rather than a hardcopy printout.

When your system is first installed, we will designate a space on your disk to contain as many as 99 different report files that you might generate. The length of each file varies based on the number of lines on the report. In many cases, there is not enough free space on the disk to generate and save all the reports you might want to create. So you must keep an eye on the list of reports stored on the disk and delete the ones you no longer need to save.

Directing Output to the Spooler

Any report may be printed to the spooler area. Select any report program from the selector. The Report Options will appear. One option is the destination of your output.

PRINTER: 1-7, 8=Spool, 9=Slave

You need only to override the report options and select the value "8" here. The program will appear to run the same as it would if actually printing to a printer. But a file is created in the spooler area of the disk instead.

Printing Spooled Reports

At some point after creating spooled reports, you will choose to actually print them. Run the Spooler Start program. First, you must choose the destination of the printouts. Select a printer. Do not spool the reports again. Then review the displayed list of reports stored in the spooler area. Each will have a number between 1 and 99. You then choose to print one report or a range of reports by entering the starting and ending report numbers.

Some reports may have already been printed. You can elect to skip the ones already printed. The spooler program starts with the first report number selected and prints each report consecutively until all are printed.

Please note that the printed reports will be as of the date and time they were spooled, not the time they are actually printed. If you spool the report Monday at 9:30 but print it Wednesday at 4:00, transactions occurring after 9:30 on Monday are not on the report.

Displaying Spooled Reports

Much of the historical data that is stored by the system may be output only by running a report program. A "display report" feature lets you bring this information to the screen. At any time, select a desired report and direct it to the Spooler. When the report is completed, jump to the Spooler selector and choose the Display One Report program. It switches your terminal to 132 print position format and displays the report one (screen) page at a time.

You must use a terminal that has 132 column capability.

Deleting Spooled Reports

After a printout has been generated for a spooled report, you can (and should) delete the spool file. This is not done automatically as the file is printed because you may want to save the file to be printed again.

Use the Spooler Delete program. It operates like the Spooler Start program, displaying a list of spooled reports. You can choose which reports to delete by selecting a starting and ending report number. Any report that has never been actually printed to a printer cannot be deleted unless you enter the required password.

Print Screen Images

Often when you are in the midst of an Insight or data entry task you might find a need to get a hardcopy printout of the information you see on the screen. A "print screen" feature lets you copy the image on the screen to the spooler area of the disk. Then, at your convenience, you may choose to print the screens to any printer.

To copy the screen to the spooler area simply type two question marks (??) at any input prompt in the desired program. The cursor will scan the screen image and copy it to a file on the disk. Then, you may continue with your entries.

After returning to the Selector, you may print the screen image(s) by choosing the Spooler Print Screen program.

NOTE: You will not see the screens on the list of reports that have been spooled. They are stored in a separate area of the spooler.

Run this program to generate hard copies of reports that have be spooled.

First, select a destination printer for your reports. Then the current list of spooled reports appears. You may select a range of report numbers to print. Each report prints consecutively until the range of selected reports is completed. You may elect to skip reports that have already been printed.

Once the spooler has been started, you can interrupt printing by holding down the (CTRL) key while you press (B). A message appears allowing you to halt the printing or continue.

Select Report Options

There are no report options for this program. Press (RETURN) to proceed.

Select Reports to Print

If any spool files exist, they are listed on the screen showing the title of the report, the date and time it was created (spooled), the date and time it was last printed, and the number of times it has been printed (NTP).

Print report number:

Select a range of reports to be printed. Enter the number of the first report to be printed, or press (RETURN) to begin with report number 1, the first possible report.

You may press (END) to end this function without printing any reports. You return to the Selector.

thru report number:

Enter the number of the last report to be printed, or press (RETURN) to end with report number 99, the last possible report.

You may press (END) to end this function without printing any reports.

Do you want to skip previously printed reports? (Y)or(N)

If a spooled report file has been printed, the date and time of last printing will be displayed. Also, the number of times printed (NTP) is greater than zero. You can elect to skip printing of these reports. This lets you choose a wide range of report numbers to print without bothering with reprinting certain reports.

Reply with "Y" to skip reports that have already been printed. Enter "N" to reprint those reports, essentially, to print all reports within the selected range.

The program will scan the list of spooled reports within the range limits you have specified. Each report will print consecutively on the printer you have designated. Be certain that the supply of paper in that printer is large enough to handle the job.

Currently there are no reports in the Spooler file. Press (RETURN)

If there are no spooled report files currently in the spooler area, then there are none to print. Press (RETURN) and you return to the Selector.

End The Program

When the list of spooled report files displays, before printing:

Print report number:

Press (END) to return to the Selector without printing any reports.

Display One Report

 

This program will display any spooled report on the video screen. With this feature you can view data that is otherwise only available on hardcopy reports.

As with the Spooler Start program, a list of the spooled reports appears. Select one report to view. The report will be displayed one screen at a time for easy viewing. You may press (RETURN) to continue viewing additional pages, or (END) to return to the Selector. When all pages have been displayed, the program returns to the Selector.

NOTE: The date and time last printed and number of times printed (NTP) are NOT updated when a report is viewed on the screen.

Display report number:

From the list of spooled reports, select one to view by entering the corresponding report number, 1 to 99.

The screen clears and switches to 132 column mode to display the report.

As each screen page (approximately 20 report lines) is filled, this message appears:

Press (RETURN) to display add'l lines, or (END)

You may press (RETURN) to view the next page, or you may press (END) to conclude viewing and return to the Selector.

When all pages have been displayed:

End of report. Press (RETURN) to continue

Press (RETURN) and the program returns to the Selector.

Delete (Spooled) Reports

 

After accumulating a number of spooled report files, you will eventually need to delete these files to make room for more reports. Use this program to delete a range of report files from the spooler area.

The program functions much like the Spooler Start program. The list of spooled report files is displayed and you may select a range of report numbers to delete.

Any report that has never been printed (NTP=0) requires entry of a valid password before it can be deleted.

Select Reports to Delete

If any spool files exist, they are listed on the screen showing the title of the report, the date and time it was created (spooled), the date and time it was last printed, and the number of times it has been printed (NTP).

Delete report number:

Select a range of reports to be deleted. Enter the number of the first report to be deleted, or press (RETURN) to begin with report number 1, the first possible report.

You may press (END) to end this function without deleting any reports. You return to the Selector.

thru report number:

Enter the number of the last report to be deleted, or press (RETURN) to end with report number 99, the last possible report.

You may press (END) to end this function without deleting any reports.

The program will scan the list of spooled reports within the range limits you have specified. Each report will be deleted from the spooler area of the disk as well as from the list of spooled report files.

WARNING! This report has never been printed!

Please enter PASSWORD

If the program encounters a report that has never been printed (NTP=0), then you must enter a valid password at this time to delete the report. Otherwise, the report file remains in the spooler area of the disk and on the list of spooled reports.

Currently there are no reports in the Spooler file. Press (RETURN)

If there are no spooled report files currently in the spooler area, then there are none to delete. Press (RETURN) and you return to the Selector.

End The Program

Delete report number:

Press (END) to return to the Selector without deleting any reports.

Display List of Spooled Reports

At any time you may display on the video screen a list of reports currently stored in the spooler area.

The Spooler status screen appears and lists any reports that have been printed to the Spooler area.

Press (RETURN) to continue

After reviewing the list of reports, press (RETURN) at any time to end the program and return to the Selector.

If more reports have been spooled than can be shown on one screen, this message appears. Press (RETURN) to view another page. Press (END) to end the program and return to the Selector.

You may want a hard copy printout of the list of reports currently stored in the spooler area. This program produces such a printout.

Print Screens

Print Screen Images Copied to Spooler

Often when you are in the midst of an Insight or data entry task you might find a need to get a hardcopy printout of the information you see on the screen. A "print screen" feature lets you copy the image on the screen to the spooler area of the disk. Then, at your convenience, you may choose to print the screens to any printer.

To copy the screen to the spooler area simply type two question marks (??) at any input prompt in the desired program. The cursor will immediately scan the screen image and within a few seconds copy it to a file on the disk. Then, you may continue with your entries.

You may copy as many screens as you like to the screen image file. They are sequentially added to the end of the file.

After returning to the Selector, you may print the screen image(s) by choosing the Spooler Print Screen program. All the screens you have copied to the file (from your terminal) will be printed.

When the screens have been printed, you must choose to clear the screen image file or retain the screens for a subsequent printout.

NOTE: You will not see the screens on the list of reports that have been spooled. They are stored in a separate area of the spooler.

Select Report Options

There are no report options for this program. Press (RETURN) to start printing.

The program proceeds to print all the screen images you have stored in your Screen file.

Clear the Screen File

When all have been printed, the following message appears:

Do you want to clear the Screen file? (Y)or(N)

You may choose to clear the spooler area of the screen images you have stored in your terminal's Screen file. Or, you may retain the screen images so that they will print again the next time you select this program.

If you clear the file, the program continues for a moment, deleting and rebuilding the file.
